POSITION SUMMARY

The Registrar  coordinates, plans, and implements enrollment, registration, and record management functions by advising and providing training to school level virtual registration personnel. Ensures consistency in records management, registration and enrollment practices across all district schools. Must have knowledge of Federal, State, and District laws, policies, procedures, and best practices regarding school choice, enrollment and registration. Provides assistance with coordination and application of procedures for enrollment and registration including reporting requirements at each school.

MINIMUM REQUIREMENTS

EDUCATION:

  • Bachelor's degree required.
  • Master's degree preferred.

CERTIFICATION/LICENSE:

  • N/A

WORK EXPEREINCE:

  • 2 years of experience as a Registrar.
  • Supervisory experience preferred.

KNOWLEDGE, SKILLS & ABILITIES

  • In-depth knowledge of registration and student file requirements, policies, and procedures, including origination and compilation of cumulative student records, the course/activity schedules of the school, and matriculation and graduation requirements.
  • Skilled at organizing and developing controls and procedures for the security and privacy of large volumes of alpha and numeric student data.
  • Written and oral communication.
  • Leadership skills, interpersonal skills, analytical skills.
  • Computer/data entry skills -Proficient in Microsoft Suite, Excel, and PowerPoint.
  • The ability to learn and use query tools.
  • The ability to manage details associated with the implementation of complex policies and procedures.
  • Effective decision-making skills.
  • Knowledge of FERPA.

ESSENTIAL DUTIES

  • Provides high quality service to school level registration personnel by hosting enrollment, registration, and records training sessions.
  • Advises and monitors school registration, provides student enrollment verifications.
  • Interprets, applies, and communicates district policies and procedures and state education codes covering registration, records, matriculation, and graduation.
  • Oversees registration services by documenting policies and procedures, implementing and maintaining effective systems, and working in cooperation with school level registrars and others to ensure academic policies and procedures are enforced and proper records are maintained.
  • Develops and implements policies and procedures for delivery of quality records, enrollment, and registration services.
  • Ensures the security and protection of a variety of records from damage and unauthorized use by establishing and enforcing security procedures for all paper, microfiche, and electronic records.
  • Stays current with effective records management techniques relating to imaging, disaster recovery, retention schedule, and other critical issues.
  • Required to have prompt, regular attendance in-person and be available to work on-site, in-person during regular business hours and as needed.
  • Performs other duties as assigned by an appropriate administrator or their representative.

Upper Body Mobility: Ability to use hands to grasp and manipulate small objects; manipulate fingers, twist and bend at wrist and elbow; extend arms to reach outward and upward; use hands and arms to lift objects; turn, raise, and lower head.

Strength: Ability to lift, push, pull and/or carry objects which weigh as much as 15 or more pounds on a frequent basis.

Environmental Requirements: Ability to encounter constant work interruptions; work cooperatively with others; work independently; work indoors.

Mental Requirements: Ability to read, write, understand, interpret and apply information at a moderately complex level essential for successful job performance; math skills at a high school proficiency level; judgement and the ability to process information quickly; learn quickly and follow verbal procedures and standards; give verbal instruction; rank tasks in order of importance; copy, compare, compile and coordinate information and records. Understand how to manage stress

Additional Work Conditions & Physical Abilities:  Will require travel to multiple sites.
